  1. The ‘Proceed To’ function will always move forward to the next stage of an application in the workflow.
  1. You can alter the work flow at any point by using the ‘Jump To’ function
  2. Status: New - The new application is created in the ‘applicant portal’ by the applicant.
  3. The application is checked and verified by administration in the Surveyor portal and using the ‘Proceed To’ function you can accept and lodge the application, this will send out email notifications.
  4. And change the status to ‘Engaged’
  5. Once you are ready to assign staff / inspectors to the application, go into the inspection area and assign your inspections/inspectors.
  6. Click on ‘Proceed To’ and Assign App.
  7. This will send out notification emails and change the status to ‘Assigned’
  8.  Click on ‘Proceed To’, Notify Council.
  9. This will change the status of the application to ‘Council Notified’ and email out any notifications.
  10. If you have to use alternate means to send information to the council click the ‘no mail’ icon. Then you can send or upload the documents from PermAssist as required.
  11. To move from ‘Council Notified’ to ‘Request More Info’, use the ‘Proceed To’ and click on ‘Request More Info’.
  12. A request for further information is generated and emailed to the applicant. With the RFI on each portal appearing in red text to be actioned.
  13. Once the information is received the administration team can tick it off and the text will change to black.
  14. The building permit approval letters are generated from your form templates and can be found in the forms section.
  15. Open and check the forms required.
  16. Download the required documentation, it will appear in the documents section.
  17. Make sure that the documents are made available using the access control function in the documents section.

  22.  You can Approve a permit from the Council notified status or from the ‘More info received’ - Click on ‘Approve permit’, to send out required documentation.
  23. Notifications will be sent out and you can see evidence of it in the audit trail.
